When a customer asks to return an item, today’s policy screen is not enough to explain yesterday’s order. Before launching a seasonal policy, decide how customer experience and warehouse teams will identify the rule that applied when each order was placed.
Shopify announced market-specific return-window overrides on September 29, 2026. Shopify’s current documentation says market-specific return and cancellation rules are in early access for certain merchants; verify availability in the relevant store. Return-window overrides can target collections, products or variants. Among matching overrides, the shortest window applies. Final-sale items cannot be requested for return or cancellation even when they match an override, except when both return rules and cancellation rules were turned off when the item was purchased. Where no override or final-sale condition applies, the market rule, or the default rule if no market rule exists, governs. The timing boundary is just as important: Shopify says rules apply when orders are placed and later changes affect future orders, not previous ones. Return rules concern fulfilled items; cancellation rules concern unfulfilled items. Using return rules with Shopify POS requires POS Pro. Shopify return and cancellation documentation.
Make the historical decision traceable
Create a proposed handoff record that lets the next operator understand the decision without reconstructing it from current settings. These are recommended business records, not a claim that Shopify exposes a field with each name or that a connector automatically supplies them.
| Record | Question it should answer |
|---|---|
| Order timestamp and market | Which order context are we evaluating? |
| Item and variant | Which merchandise does the request concern? |
| Applicable rule evidence | Which policy and matching conditions applied at order time? |
| Resolved window and start event | How should the team establish the relevant period? |
| Fulfillment state | Is this a return request or an unfulfilled-item cancellation? |
| Exception owner | Who resolves missing evidence or an exceptional request? |
| Physical disposition instruction | What must receiving inspect before stock can be released? |
Assign an owner for maintaining the policy evidence and another for operational exceptions. If the handoff lacks historical evidence, send that gap to the policy owner. Do not silently substitute the current rule.
The duration alone is incomplete. Shopify supports a return-window start based on item delivery or delivery of the last item in the order, with additional handling described for unavailable delivery dates and edited or exchanged items. Record the applicable setting and supporting event before calculating a deadline. Return-window documentation.
Test an overlap and a later change
Hypothetical example: Assume an eligible store with the applicable market-specific rules and overrides configured and active when each order is placed. A fictional non-final-sale item matches a 21-day product override and a 45-day collection override in the relevant market. The shorter matching window is 21 days.
Assume that, after this order, the merchant changes the product override to 30 days while leaving the collection override at 45 days. For a later order with the same matching conditions, the shorter window would be 30 days. The settings change does not retroactively replace the earlier order’s 21-day window under Shopify’s documented behavior.
These invented periods demonstrate rule resolution. They do not recommend a policy for any jurisdiction, establish a calendar deadline or determine a customer’s rights. The responsible policy owner must assess those obligations separately.
For an authorized nonproduction check, include the old and new order cases, an item matching multiple overrides, a final-sale case and an item falling back to the default. Record the expected and observed result for each. A passing overlap case does not prove the default or historical case works in your setup.
Keep eligibility and physical condition separate
Once a request reaches receiving, the warehouse still needs an inspection instruction. A return-window decision does not establish that the unit is ready for resale. Keep the policy decision and the physical disposition record linked, with separate owners and evidence.
The returned-inventory disposition guide addresses that physical workflow. Add policy provenance before it: which order, which item, which rule, which start event and which exception owner?
Before changing a seasonal policy, walk one hypothetical old order and one new order through that handoff. If the team cannot explain why their instructions differ, fix the record before relying on the rule during a customer conversation.
